Overview

AI Inventory is a centralised inventory and asset management system for operations teams running stock across multiple sites. It covers owned inventory, rental equipment and wholesale orders. AI sits on top for forecasting, image-based entry, reporting and equipment analysis. It serves businesses whose stock had ended up spread across several disconnected sources of truth. Nobody could say confidently what was on hand, what was committed and what was due back.

Challenges

Inventory data drifted out of sync so nobody trusted the counts. Stock sat across locations with no single view of what was where. Allocation errors blurred the line between what was on hand and what was already promised to a customer. Rental items slipped through the cracks entirely. Issue dates, return dates and availability were all unreliable so equipment was double-booked or sat idle without anyone knowing. Inventory entry was manual and slow. There was no way to capture items by barcode or photograph so the data was always slightly behind reality and always held typing errors. Invoices went unverified against what had actually been ordered and received which let mismatches turn into losses. Forecasting and operational projections were unreliable and that undermined each reorder decision. Reporting was manual and failure-prone so leaders lacked dependable analytics on stock, demand and equipment. And equipment maintenance and valuation weren't tracked at all which risked overdue servicing and unclear asset usage.

We built one centralised system for inventory updates and edits with consolidated visibility across all locations. That gives a single source of truth instead of several competing ones. Low-stock monitoring raises alerts before shortages hit. Reorder links and supplier references are attached so replenishment is one step rather than a hunt through old emails. Barcode scanning and AI image recognition handle entry so items get captured without typing. Rental items have proper issue and return tracking with automated return scheduling which keeps availability dependable. Invoice and order verification checks what was ordered against what arrived and what was billed. Mismatches get caught before they turn into losses. On top of that sits the AI layer. It covers demand forecasting and allocation, operational projections, product and inventory comparison and generated reports with recommendations. Equipment gets maintenance reminders, valuation and usage analysis so assets are serviced on schedule rather than after something fails. The system also handles wholesale order and fulfilment management, customer accounts and ordering, inventory cross-checking against operational demand and automated draft communications.

Our Role & Approach

Our role was to rebuild trust in the numbers first and add intelligence second. There's no value in AI forecasting on top of counts nobody believes. So we started by consolidating inventory into one editing system with multi-location visibility. We fixed the synchronisation, allocation and tracking errors underneath. Only once the data was dependable did we layer forecasting, projections and AI reporting on top of it. We cut manual entry early because each manual keystroke is a future discrepancy. That's why barcode scanning and image recognition came before the analytics work. Throughout we focused on catching problems before they cost money. Low-stock alerts before a shortage. Invoice verification before a billing mismatch becomes a loss. Maintenance reminders before equipment fails.

Outcomes
